5. Sharing and disclosure

KHENIQ may share personal data only as reasonably necessary for the stated purpose with:

  • Authorised KHENIQ personnel.
  • Prospective employers or clients involved in a candidate recruitment or placement process.
  • Contracted providers supporting website hosting, secure forms, communications, data storage, security, CRM or applicant-tracking functions.

Service providers must be subject to appropriate confidentiality, security and data-processing terms. KHENIQ does not sell personal data, publish CVs or make private enquiry content publicly searchable.

6. Processing outside India

Some contracted technology providers may process or store data outside India. Where this occurs, KHENIQ will use providers and contractual or organisational safeguards appropriate to applicable law and any applicable government restrictions.

7. Retention

KHENIQ proposes to retain personal data as follows:

  • General enquiries and feedback: up to 12 months after the last meaningful interaction, unless converted into another business or legal record.
  • Current candidate application: during the recruitment process and normally up to 12 months after closure, subject to a valid rights request, legal hold or lawful requirement.
  • Optional talent network: up to 24 months after the last meaningful interaction, unless renewed or withdrawn earlier.
  • Client, contract and account records: for the engagement and any applicable tax, accounting, limitation, dispute or statutory period.
  • Security, consent and rights records: for the period reasonably necessary to demonstrate choices, investigate incidents and comply with applicable law.
  • Incomplete or abandoned public-form uploads: deleted promptly in accordance with the configured technical workflow.

KHENIQ may retain information for a longer period where required by law or a valid legal hold. Otherwise, personal data will be erased or anonymised when it is no longer reasonably necessary for the specified purpose.

8. Security

KHENIQ uses reasonable technical and organisational safeguards appropriate to the nature of the information. Depending on the relevant system, these may include secure transmission, protected storage, authentication, role-based or least-privilege access, logging and monitoring, backups, confidentiality controls, provider agreements and incident-response procedures.

No internet or storage system is completely secure, and absolute security cannot be guaranteed. Please do not submit Aadhaar, PAN, complete bank details, passwords, unrelated medical information, biometric information or other unnecessary sensitive material through a public form.

9. Cookies and analytics

The website may use essential technologies required for security, network delivery, accessibility and recording privacy choices. KHENIQ may also measure aggregate page views and approximate browser sessions using a short-lived random identifier that is not linked to a name, email, enquiry or CV. Optional analytics requiring consent will remain disabled unless the visitor makes the relevant choice.

The final production website will display only cookie categories and providers that are actually in use. Visitors may reject optional analytics without losing normal access to public website content and may revise their optional choice through the available privacy control.

10. Rights and choices

Subject to applicable law, individuals may request information about processing and sharing, access available information, correct or complete inaccurate information, update information, request erasure, withdraw consent, opt out of optional communications, raise a grievance and exercise nomination rights where applicable.

Withdrawal of consent does not invalidate lawful processing completed before withdrawal and may prevent KHENIQ from continuing a requested service or application. KHENIQ may take proportionate steps to verify identity and may retain information where required by law.

Requests may be sent to contact@kheniq.com with the requester’s name, contact details, relationship to KHENIQ, the nature of the request and sufficient information to locate the relevant records. Identity documents should not be emailed unless KHENIQ specifically requests them through an appropriate secure method.

11. Children

KHENIQ’s public enquiry and candidate forms are intended for persons aged 18 or older. KHENIQ does not knowingly solicit a child’s personal data through these forms. If such information is identified, KHENIQ will take appropriate lawful steps, including deletion or obtaining legally required verifiable parental or guardian consent where relevant.
